How we handle your information.
InterGen Marketing ("we", "us", or "our") is a New Zealand partnership. We take your privacy seriously and comply with the New Zealand Privacy Act 2020 and its thirteen Information Privacy Principles (IPPs).
This policy explains what personal information we collect when you engage with us, how we use it, who we share it with, and the rights you have over it. By using our services or submitting an intake form, you agree to the terms of this policy.
1. Who we are
InterGen Marketing is a New Zealand-based partnership providing one-time, owned marketing systems for service businesses. Our primary contact for privacy matters is:
- Email: harry@intergenmarketing.com
- Location: Auckland, New Zealand
2. What information we collect
We collect personal and business information you give us directly, including:
- Identification details — your name, business name, role, and contact information (email and phone number).
- Business information — your industry, market, target customer, current offer, website, social profiles, competitors, and any other context you share through our intake form or during calls.
- Intake responses — your written answers to the questions on our Typeform intake at form.typeform.com/to/QAPWnOZc.
- Call recordings and transcripts — with your prior consent, we record intake calls and store transcripts so the resulting work can be built directly from what you said.
- Payment information — handled by Stripe. We do not store full card numbers on our systems; Stripe provides us with masked transaction confirmations only.
- Communication records — emails, messages, and call follow-ups exchanged with you over the course of the engagement.
3. Why we collect it
We only collect information that is necessary to:
- Determine whether your business is a good fit before engaging.
- Produce the agreed deliverables (Positioning Document, Email Sequence, Ad Creatives, Inbound Conversion Guide).
- Communicate with you about the project, scheduling, payments, and ongoing support.
- Process payment for the agreed fee.
- Improve our internal frameworks based on aggregated, anonymised patterns across engagements.
- Comply with our legal and accounting obligations under New Zealand law.
We do not collect or process information for any purpose unrelated to delivering and supporting our services.
4. How we collect it
Information is collected through the channels you choose to engage with us:
- Our intake form, hosted by Typeform.
- Direct email or written correspondence.
- Voice calls, which may be recorded with your consent.
- Payment processing at the point of engagement, through Stripe.
We do not buy, scrape, or otherwise obtain personal information about you from third parties.
5. Third-party processors
To deliver the service, we rely on a small number of trusted processors. Each processor only receives the information necessary for the function it performs, and each is bound by its own privacy and security obligations:
Typeform
Used to collect your intake responses. Data is transmitted and stored on Typeform's secure infrastructure. Their privacy policy is available at typeform.com/help/privacy-policy.
Stripe
Used to process payment securely. Stripe is PCI-DSS Level 1 compliant. We never see or store your full payment card details. Their privacy policy is available at stripe.com/privacy.
n8n
We use n8n to automate internal workflows (such as moving brief data between systems and triggering scheduled tasks). Where n8n processes your data on our behalf, it acts as our data processor under the Privacy Act 2020.
6. How long we keep your information
We retain your information only as long as we need it to provide the service, meet our legal and tax obligations, or resolve disputes:
- Active clients: for the duration of the engagement plus seven (7) years for tax and record-keeping purposes, as required by the Inland Revenue Department.
- Enquiries that did not convert: deleted within 24 months of last contact unless you ask us to retain or delete them sooner.
- Call recordings and transcripts: retained for the duration of the engagement and deleted within 12 months of project completion unless ongoing work is in place.
7. How we protect your information
We take reasonable steps to protect your information from loss, misuse, and unauthorised access or disclosure. These steps include encrypted storage, restricted internal access, secure passwords, and use of reputable third-party processors with their own security obligations.
No method of electronic storage or transmission is ever 100% secure. While we follow industry-standard practices, we cannot guarantee absolute security.
8. Your rights under the Privacy Act 2020
You have the right to:
- Access the personal information we hold about you.
- Request correction of any information that is inaccurate or out of date.
- Withdraw consent for ongoing processing where consent is the basis for processing (such as call recording).
- Request deletion of your personal information, subject to our legal record-keeping obligations.
- Complain to the Office of the Privacy Commissioner if you believe we have not met our obligations, by visiting privacy.org.nz or calling 0800 803 909.
To exercise any of these rights, email harry@intergenmarketing.com. We will respond to verified requests within 20 working days, as required by the Privacy Act.
9. Cookies and analytics
Our website itself uses minimal cookies. We do not currently run third-party advertising or behavioural tracking. If we add analytics in the future, this policy will be updated accordingly, and the disclosure will be visible before the data is collected.
10. Marketing communications
If you have engaged with us or submitted an enquiry, we may occasionally contact you with relevant updates. You can unsubscribe from any communication at any time, either by replying directly or by following the unsubscribe link included in every email.
11. Children
Our services are not directed to children under 16. We do not knowingly collect personal information from anyone under 16. If you believe we have inadvertently done so, please contact us and we will delete the information promptly.
12. Changes to this policy
We may update this policy from time to time to reflect changes in our practices, our processors, or the law. The "last updated" date at the top of this page will always reflect the most recent revision. For material changes, we will notify active clients directly.
